Sending quotes and turning them into orders

Share a price with a customer before they commit. When they say yes, turn the quote into a sales order in one click.

How to send a quote

Click ‘New quotation’on the Quotations page. Pick a customer, add products, and set a ‘valid until’ date.

Press Send on a Draft quote. The customer gets a PDF; the quote moves to Sent.

Mark it Acceptedwhen the customer agrees. If they don't, mark it Rejected with a short note.

Convert to sales order from an accepted quote. Lines and rates carry over, and stock gets reserved when you confirm that order.

What each status means

  • Draft

    You're still editing. Nothing is shared with the customer yet. You can change any line or tax without creating a new version.

  • Sent

    The quote has been emailed or shared as a PDF. You're waiting for the customer to accept or reject it.

  • Accepted

    The customer confirmed the price. You'll see a 'Convert to sales order' button on the quote.

  • Rejected

    The customer said no. The quote is closed for editing but stays on the list for reference.

  • Expired

    The 'valid until' date passed with no reply. Edit the quote to reissue it with a new validity date.

  • Converted

    The quote was turned into a sales order. The link to that order sits on the quote detail page.

  • Cancelled

    You pulled the quote back before the customer could act on it. It stays in the audit trail.

  • Can I edit a quote after sending it?+
    Send creates a snapshot the customer sees. To change anything after that, open the quote and use 'Revise' — it creates a new version under the same quote number so the customer always has the latest copy.
  • Does an accepted quote reserve stock?+
    No. Stock is only reserved when the quote is converted to a sales order and that order is confirmed. Accepting a quote just records the customer's agreement on price.
  • What happens when I convert a quote to a sales order?+
    Every line copies across at the quoted rate. The quote moves to 'Converted' and shows a link to the new sales order. You can't edit lines on the quote after conversion.
  • Can I send the same quote to multiple customers?+
    Each quote belongs to one customer. Duplicate the quote from the detail page and pick a different customer — the line items copy across, ready to edit.
